Adding and Managing Permits

In this guide, we’ll learn how to manually issue special permits for parkers. Special permits grant parkers access to specified lots, and can be used for a multitude of reasons like employee parking for example.


To begin, access the site at which you want to edit or add a permit through the Dashboard or the “Territories and Sites” tab from the menu on the left-hand side of the screen.

Once you’ve navigated to the site at which you want to issue the permit, select the “Special Permits” option from the site menu on the left, which will allow you to view all previously issued special permits at a glance. From this page, select the blue “New Permit” button from the top right corner which will prompt you to fill out a form with information about the new permit. 

The form will first ask you to assign a lot at which the permit will be active. Optionally, you can also assign a unit linked to the permit. 

Next, it will ask you which group (resident or employee) this permit is for. This simply provides additional information about the parker, and is optional.

Afterwards, the form will ask about the permit’s details. The two most important things here are the expiry date, and the permit number. You can leave the expiry date blank to have the pass not expire until it is revoked manually, but the permit number is a unique identifier that distinguishes permits from one another, and is required to issue a permit. In addition, you can also assign a particular space to a permit, and add notes about the permit, though these are both optional. 

The next section will ask information about the vehicle and parker. Start by entering the vehicle’s license plate number, and optionally, you can add the state of the license plate, as well as the make, model, and colour of the vehicle.

Then, fill out the parker’s contact information (the email is especially important if your lot is paid as this is where the receipt will be sent) and check the box at the bottom if you want to create a Smart Parking account for the permit holder so they can manage their vehicles and permits themselves. 

Once you’re finished, press “Save and Preview” to view and submit your finished permit, or “Save and Create Another Permit” which will submit your permit and open a new blank form for you to issue another one. 

If you want to edit an existing permit instead of creating a new one, from the “Special Permits” tab, click the three-dot menu to the right of the specific permit you want to edit to display a list of actions, then select “Edit.” This will bring up the form seen earlier in this guide and allow you to change any aspect of the permit.
